As our US Workplace Experience Coordinator (WXC), you’ll play a key role in Akeneo’s employee experience by supporting the smooth, welcoming and efficient operation of our Boston office. We recently moved to a fantastic new home in the Downtown/Financial district, and are looking for an enthusiastic workplace professional who enjoys creating great experiences for others. As part of Akeneo’s People Experience function, the US WXC will serve as a warm, reliable point of contact for our US team, both in person and digitally for our remote and hybrid employees. You’ll report to the Chief People Experience Officer, based in Paris, and your work will focus on office operations, communications, hospitality and events, business support, and overall employee experience. This role is fully on-site, 5 days per week. Our Workplace Experience team's mission is: 'To operate and sustain a portfolio of inspiring environments that facilitate purposeful experiences and empower our thriving communities. We partner with the business to provide critical support in the moments that matter across the employee journey.' In short, we aim to turn workplace experience into a competitive advantage.

Job Responsibility:

  • Office Operations: Be a warm, consistent presence in the office and ensure a positive day-to-day experience for employees and visitors
  • Own the smooth running of daily operations, including making office rounds and ensuring the space looks its best
  • Liaise with local vendors and service providers (cleaning, maintenance, security, building management)
  • Assist with the coordination of internal meetings and events, including logistics
  • Administration & Communications: Share key workplace updates and maintain a digital presence across Slack channels
  • Handle in-person, email and Slack queries with professionalism and warmth
  • Support new hire onboarding to ensure a smooth arrival experience
  • Coordinate office resources such as supplies, snacks, equipment and furniture
  • Process and monitor office-related invoices and expenses
  • Support US employees navigating our corporate travel platform
  • Serve as the IT liaison in the US, collaborating with the IT team to manage all aspects of laptop lifecycle (procurement, repairs, distribution to users, and inventory management)
  • Remote Support: Provide administrative support to remote US employees
  • Help ensure remote team members feel connected and supported as part of our broader People Experience initiatives
  • Hospitality & Events: Support the planning and delivery of in-office events and activities that encourage attendance, connection and community
  • Assist in running our US ‘End of Year’ celebration
  • Health & Safety: Work closely with stakeholders to maintain a clean, safe and comfortable environment
  • Support with basic compliance activities and keeping safety documentation up to date

Requirements:

  • 1+ years of experience in office/workplace operations, hospitality, facilities, flexspace or employee experience
  • Warm, proactive and willing to roll up your sleeves to get things done
  • Reliable, organised and able to juggle multiple tasks with good attention to detail
  • Strong communication skills - in person, in writing and across tools like Slack
  • A team player who builds trust through helpfulness, consistency and good judgement
  • Comfortable working autonomously day-to-day with guidance from a remote manager
  • Growth-minded, adaptable and eager to learn
