Job Description:

The Four Seasons Resort Hualalai is looking for a Villa Rental Coordinator who shares a passion for excellence and who infuses enthusiasm into everything they do. Our Villa Rental Coordinator’s have the opportunity to shape our guest experience by providing exceptional knowledge of the Resort and exemplifying the Golden Rule in each interaction.

Job Responsibility:

  • Book villa and home rental reservations and ensure exceptional rental experiences
  • Respond to telephone, email and web-based inquiries for villa and home rentals, including tours of prospective guests and travel agents
  • Coordinate transactions of guest reservations, including drafting and execution of rental agreements
  • Assist with the development of collateral materials for consumer distribution
  • Perform periodic inspections of unoccupied rental units
  • Maintain guest files and database for future tracking and marketing purposes
  • Manage inventory, front desk, reservations and accounting in property management system
  • Maintain reservations spreadsheets, Rental Agreements and archiving of rental records
  • Prepare and maintain Owner files, complete with a detailed inventory list of the furnishings in each rental residence
  • Assist with the preparation of financial reports as needed
  • Assist in providing forecasts of the rental program for operations
  • Work closely with the Property Managers and the Concierge to ensure the highest quality rental experience for the guest
  • Work closely with the Property Managers and homeowners in maintaining the rental units
  • Complete special projects or any other duties as requested from time to time

Requirements:

  • A valid driver’s license and a current traffic abstract are required
  • Successful candidate must possess legal work authorization in United States
  • Required to obtain a Drivers Abstract when working in roles which may require driving a vehicle
  • Weekend & Holiday availability required
  • High school diploma and 2 years administrative experience required
  • Previous experience in hotel reservations, front desk/concierge or vacation rental reservations preferred
  • Excellent Verbal and Written Communication skills
  • Strong Customer Service skills
  • Familiar with Word, Excel and Outlook. DocuSign and Opera preferred

  • Previous experience in hotel reservations, front desk/concierge or vacation rental reservations
  • Familiar with DocuSign and Opera

  • Conduct inspections of residences and ensure corrective actions are completed promptly
  • Ensure all housekeeping policies, procedures, and service standards are followed consistently
  • Support workflow planning and task prioritization during evening operations
  • Maintain clear communication with management regarding operational needs or concerns
  • Lead by example, fostering professionalism, teamwork, and attention to detail
