Job Description:

The Therapy Operations Coordinator role is responsible for both scheduling therapy clients and providing support to clients and therapists. This includes managing client inquiries, completing appointment requests, and ensuring accurate documentation. Additionally, the role involves supporting therapists through data analysis, identifying utilization trends, and improving workflow efficiency. The coordinator serves as a liaison between clients, therapists, and other operational teams to ensure seamless communication and service delivery.

Job Responsibility:

  • Manage therapy client scheduling via phone, email, and self scheduling requests via SupportHub
  • Verify insurance benefits and coordinate with the RCM Benefits team
  • Handle cancellations, reschedule requests, and respond to payor availability requests
  • Manage client accounts, including account creation, updates, and maintenance
  • Monitor and support therapist requests through SupportHub
  • Distribute reporting on KPIs including cancellations, late/missing documentation, and calendar trends
  • Oversee consent dashboards, calendar audits, care team rosters, and exploring utilization audits
  • Act as a point of contact for therapists, payors, and clients, via SupportHub, and RingCentral
  • Provide portal support for clients and assist with insurance updates
  • Facilitate clear and effective communication across departments to resolve issues promptly
  • Complete EHR, SupportHub and other communication tasks as assigned
  • Respond to payor availability requests
  • General administrative tasks

Requirements:

  • Associates Degree preferred
  • Healthcare experience preferred
  • Medical office and HIPAA experience preferred
  • Excellent written and verbal communication skills in adherence with HIPAA Privacy laws
  • Exceptional customer service skills
  • Strong computer skills
  • Ability to work in a fast-paced environment and adaptable to change

  • Develop and execute the strategic initiative and process for Treatment Center Qualification, training and ongoing support for patient coordination, scheduling, communication, cell collection support, and drug product infusion support
  • Drive Workflow & Training development: Design training to qualify apheresis and treatment centers, leading treatment center activation and certification processes and providing ongoing operational oversight post-activation
  • Quality & Compliance oversight: Ensuring compliance with regulatory standards (FACT, AABB), managing quality records (deviations, CAPAs, change controls) and overseeing the end-to-end process for patient apheresis and product delivery. Ensure COC/COI and assist in the implementation of ISBT-128 ST-018, as needed
  • Partner with Quality and Patient Operations team to build a robust treatment center network including center selection, qualification, training and ongoing support. Lead field team providing onsite support
  • Provide Apheresis expertise to support various internal activities and external facing training development
  • Create and conduct Apheresis and Cell therapy lab on-boarding, assessments, training, and collection support and other areas as needed
  • Build metrics program that will drive data collection and analysis in support of optimizing collection procedures, efficiency, and quality
  • Actively engage in the identification, sharing, and adaptation of best practices cross-functionally and between centers and identify and champion industry working group initiatives that will improve overall cell and gene therapy industry and treatment experience of our patients
