Job Responsibility:
Manage a multi-line phone system, answering calls promptly and directing them to the appropriate department or individual
greet visitors and clients warmly, providing assistance and maintaining a welcoming atmosphere
handle data entry tasks with accuracy, maintaining and updating records as required
organize and maintain physical and electronic files to ensure accessibility and order
schedule appointments and manage calendars efficiently, coordinating with staff and clients
correspond via email in a clear and timely manner, ensuring effective communication
utilize Microsoft Word, Excel, and Outlook to create documents, manage schedules, and handle correspondence
deliver exceptional customer service by addressing inquiries and resolving issues effectively
support various administrative tasks to ensure smooth office operations
collaborate with team members to streamline processes and improve workflow.
Requirements:
Proficiency in managing multi-line phone systems and handling high call volumes
strong customer service skills with the ability to address client needs professionally
experience with data entry and maintaining accurate records
knowledge of Microsoft Word, Excel, and Outlook for administrative tasks
excellent interpersonal skills to foster positive interactions with clients and colleagues
