We are looking for an organized and detail-oriented Receptionist to join our team in Palm Beach Gardens, Florida. This Contract to permanent position offers an excellent opportunity for a detail-oriented individual to provide administrative support and ensure smooth day-to-day operations. The ideal candidate will manage various tasks with precision and efficiency while maintaining a welcoming presence at the front desk.
Job Responsibility:
Receive and sign for overnight mail deliveries, ensuring proper documentation
Open and record incoming mail, delivering it to the appropriate recipients
Sort and scan mail, organizing it into the correct file locations
Distribute incoming correspondence to relevant departments or personnel
Maintain accurate records of all incoming checks
Prepare outgoing mail using the postage machine as needed
Monitor office supply levels and place orders to replenish stock when necessary
Assemble meeting packets and print materials as instructed
Perform general filing tasks to keep documents organized and accessible
Requirements:
Proficiency in Microsoft Excel, Word, and Outlook 365
Familiarity with Windows 10 and 11 operating systems
Strong organizational and multitasking abilities
Effective communication skills, both written and verbal
Previous experience in receptionist and administrative office duties
Attention to detail and accuracy in managing records
Ability to work independently and as part of a team
