The Proposal Coordinator plays a pivotal role in driving PSC’s growth by developing and managing high-quality, winning proposals across the full bid lifecycle. You will collaborate closely with technical teams, business development, finance, legal, and leadership to create compelling, client-focused proposals that align with PSC’s strategic objectives. From opportunity inception through to submission, you will ensure all proposal documentation meets client requirements, internal standards, and deadlines. Success in this role is measured by your ability to manage complex bid processes, influence outcomes through high-quality content and coordination, and help secure new business for the consultancy
Job Responsibility:
Manage the entire bid lifecycle while creating, developing, and upholding PSC bid standards
Work across multiple bids simultaneously, applying strong time management to meet internal and external deadlines
Prepare and submit proposals ensuring clarity, technical accuracy, and compliance with client requirements
Coordinate with technical experts to gather content, define project scopes, and develop methodologies
Write, edit, and format proposal documents including executive summaries, technical approaches, pricing, and project schedules
Analyze RFQs and customer inquiries to determine scope of work and required resources
Maintain and update proposal templates and documentation to reflect current offerings and pricing strategies
Work closely with Service Delivery teams to understand client needs and strategically position proposals
Facilitate proposal review meetings and manage contributions from cross-functional teams including Service Delivery, Finance, and Legal
Develop and manage proposal schedules, ensuring all milestones are achieved
Implement and maintain proposal tracking systems to monitor progress and outcomes
Lead post-bid reviews and drive continuous improvement of proposal processes and tools
Engage directly with clients to clarify requirements and provide additional information
Participate in contract negotiations
Lead client debriefs post-submission to gather feedback and strengthen future proposals
Ensure proposals comply with all internal and external legal, financial, and quality standards
Assess proposal risks and collaborate with relevant teams to mitigate them
Stay informed on industry trends and shifts in market demand
Research and identify bidding opportunities through tender portals, networking, and stakeholder engagement
Track RFP releases and key dates to keep PSC well-positioned with prospective clients
Track proposal outcomes, win/loss ratios, and key performance indicators
Provide insights and recommendations based on past proposals and industry trends
Act as a subject matter expert user for CRM (HubSpot)
Requirements:
Bachelor’s degree in engineering, Business, or a related field
5+ years of proposal management experience in a consultancy environment (engineering or construction preferred)
Strong understanding of the Power industry and both technical and commercial project aspects
Exceptional written and verbal communication skills with strong attention to detail
Proven ability to manage multiple proposals under tight deadlines
Experience leading large, diverse, time-constrained bid teams on complex submissions
Proficiency with proposal management tools and Microsoft Office
High level of numeracy with comfort manipulating and analyzing data
