Job Description:

A well-respected general contractor in San Diego is hiring a detail‑driven Project Administrator to support project managers, superintendents, and field teams on multiple active builds. This role touches every stage of a project — from pre‑construction documentation and subcontractor onboarding to change orders, cost tracking, compliance, and close‑out packages. Job Responsibility:

Assist with subcontractor onboarding, COIs, W‑9s, compliance, and safety documentation
Manage RFI logs, submittals, change orders, meeting minutes, and project schedules
Prepare project binders, job site documentation, and city/permit packets
Maintain digital/physical filing systems for inspections, job codes, site photos, and project updates
Help track project expenses, match invoices to POs, route approvals, and support AP/AR
Create and distribute weekly reports: schedule updates, subcontractor status, and punch list progress
Support superintendents with job site needs, deliveries, sign-in sheets, and visitor logs
Assist with project close-out: warranties, O&M manuals, as-builts, training docs, and completion packages
Answer phones, greet visitors, and support general office operations when needed

Requirements:

2–5+ years administrative experience in construction, contracting, or engineering
Familiar with Procore, Bluebeam, PlanGrid, or construction PM software
Highly organized, deadline-driven, and strong problem solver
Comfortable communicating with subcontractors, inspectors, and field leaders
