Join Our Team as a Planning Administrator - aviation! We're on the lookout for an enthusiastic Planning Administrator to join our team on a temporary basis in beautiful Bromley, London! If you have a keen eye for detail and a knack for organisation, we want to hear from you!

Job Responsibility:

  • Data Entry & Record Keeping: Accurately input maintenance schedules, aircraft details, and work orders into our planning system
  • Document Preparation: Generate and distribute essential work packages, task cards, and supporting documentation for maintenance activities
  • Communication Coordination: Act as a friendly liaison between planning, operations, and other departments, ensuring everyone is updated on schedule changes
  • Report Creation: Compile and format insightful reports on maintenance progress and resource allocation for management review
  • System Updates: Keep our planning software current with maintenance statuses, deadlines, and operational requirements
  • Scheduling Support: Assist planners in organising daily, weekly, or monthly maintenance schedules and resource availability
  • Compliance Monitoring: Ensure all documentation aligns with regulatory and company standards, flagging any discrepancies
  • Meeting Support: organise and document planning meetings, preparing agendas and recording minutes for follow-up actions
  • Customer Coordination: Help prepare communication materials for clients about the status of their aircraft maintenance

Requirements:

  • Basic proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
  • Availability to work on-site, Monday to Friday (40 hours per week)
  • Strong verbal and written communication skills
  • Exceptional organisational skills, with the ability to prioritise and meet deadlines
  • Excellent interpersonal skills, allowing you to work effectively in a dynamic team environment

  • Manage and maintain accurate equity data within our equity management platform (e.g., Carta or similar)
  • Partner with Payroll, Legal, Tax, and Accounting to ensure timely and compliant processing of equity transactions, including tax withholding and reporting
  • Support global employees and stakeholders by providing timely, high-quality customer service and education on equity-related matters
  • Prepare and reconcile monthly and quarterly equity reports, including share activity, expense accruals, and outstanding balances
  • Ensure compliance with global tax, legal, and securities regulations across all jurisdictions where equity is granted
  • Collaborate with Accounting on stock-based compensation reporting and audit support, including PBC requests and reconciliations
  • Assist in maintaining accurate records of equity authorizations, share pools, and plan usage for internal and board reporting
  • Support process improvements, automation, and system enhancements to improve efficiency and accuracy of equity administration
  • Contribute to the design and delivery of employee equity education programs and communication materials
