Job Description:

As a receptionist at a fast-paced CPA firm, your primary responsibility is to ensure seamless front-office operations while delivering a professional and welcoming experience to clients and visitors. You serve as a key support resource for the administrative team, staff, managers, and firm owners, contributing to the daily efficiency and organization of the office.

Job Responsibility:

  • Greet clients and visitors warmly, in person or over the phone
  • Answer incoming calls, direct them to the appropriate staff, or take messages
  • Schedule appointments and manage calendars for accountants and partners
  • Ensure the conference rooms, reception and common areas are tidy
  • Uphold strict confidentiality standards when handling sensitive financial and personal information
  • Perform a variety of general administrative duties, such as handling incoming and outgoing mail
  • Accept client deliverables and manage client pickup bin and log
  • Other duties as assigned

Requirements:

  • High school diploma
  • 2+ years' office, administrative or clerical experience required
  • Fluent English
  • Ability to lift 20 pounds
  • Proficient in Microsoft Office, Outlook email and calendars
  • Experience with multi-line phone system
  • Excellent organizational skills with attention to detail and ability to prioritize tasks
  • Deliver exceptional internal and external customer service in a fast-paced environment
  • Excellent time management skills, the ability to multi-task
  • Effective interpersonal skills with solid written and verbal communication
  • Quick learner, motivated, and adaptable
