This long-term contract position involves providing essential administrative, financial, and operational support to ensure the smooth functioning of our business. You will play a key role in managing office systems, assisting with financial processes, and maintaining a detail-oriented and organized environment.
Job Responsibility:
Prepare and facilitate domestic and international wire transfers for review and approval
Monitor and report weekly bank balances to ensure accurate financial tracking
Organize and categorize expenses in QuickBooks Online while maintaining accurate financial records
Oversee office systems and technology, ensuring equipment such as Zoom and AV setups function seamlessly
Set up, tidy, and reset meeting spaces to maintain a detail-oriented environment
Maintain office organization, ensuring supplies are stocked and areas like the kitchen and refrigerator are clean
Coordinate lunch orders and refreshments for meetings and events
Compile and prepare travel and expense reports for firm partners
Support financial operations such as capital calls and distributions as needed
Perform general administrative tasks and address ad hoc operational needs to maintain office efficiency
Requirements:
Minimum of 3 years of experience in office administration, operations, or a similar support role
Proficiency with Microsoft Office Suite, including Excel, Outlook, and Word
Familiarity with QuickBooks Online and other financial expense tools such as Expensify
Strong organizational and detail-oriented skills, with the ability to manage routine tasks consistently
Excellent verbal and written communication skills
Ability to handle confidential financial and client information with discretion
Self-motivated and capable of working independently or collaboratively in a small team environment
Willingness to commute to the office in Belmont, California
