We are looking for an experienced Office Manager to join a Construction Consulting firm based in Lower Manhattan. In this role, you will oversee daily operations, ensuring the office runs smoothly and efficiently. This is a contract to permanent, onsite position offering the opportunity to contribute to a dynamic and detail-oriented environment.
Job Responsibility:
Answer, screen, and direct calls
Make deposits
Print checks for bills provided by Accounting Department to be signed CEO and mailed
Manage front desk
Make coffee, ensure office readiness, refill pantry
Monitor and order office supplies
Pick up mail, send out mail, track packages & Prepare outgoing mail/couriers
Sort and distribute mail/packages
Assist with filing, data entry, photocopying, scanning
Support office events and visitor arrangements
Order or pick up lunch
Create posts, manage social media accounts and reply to new inquiries to increase followers
Maintain confidentiality
Handle additional responsibilities as needed
Manage main email account where all new projects are received
Manage calendar and schedule meetings with clients and city agencies for CEO
Screen, prioritize, and respond to communications from clients and team members through main email account
Coordinate meetings, prepare agendas, take minutes, and ensure timely follow-ups
Attend meetings with the CEO, take detailed notes, draft meeting summaries for the CEO’s review, and ensure action items are tracked and completed in relation to office management tasks
Utilize experience with Department of Buildings and other city agencies’ processes to resolve inquiries and support CEO project coordination
Log projects in CRM that comes in through the main email account
Requirements:
Strong organizational skills with the ability to multitask and prioritize effectively
Proficiency in managing office supplies and inventory
Excellent interpersonal and communication skills
Experience with high volume calendar management and scheduling
Knowledge of mail handling and bank deposit processes
Detail-oriented approach to administrative tasks
Ability to work independently and collaboratively in a fast-paced environment
