We are looking for a highly organized and detail-oriented Office Manager to oversee daily operations and provide executive-level support within our organization. This role combines administrative excellence with event planning, travel coordination, and project management responsibilities. As a Contract to permanent position based in Washington, District of Columbia, this opportunity is ideal for someone who thrives in a dynamic environment and excels at multitasking.
Job Responsibility:
Manage complex calendars, coordinate meeting schedules, and ensure timely communication for executives
Draft, proofread, and handle executive correspondence, reports, and other critical communications
Plan and organize logistics for meetings, including preparing agendas, documents, and follow-up actions
Arrange domestic and international travel, including itineraries, accommodations, and expense reporting
Oversee daily office operations, ensuring a clean, efficient, and well-maintained workspace
Maintain vendor relationships, coordinate facility maintenance, and manage office supplies and equipment procurement
Support HR-related activities, including onboarding logistics and administrative coordination
Lead the planning and execution of corporate events, conferences, and organizational meetings
Work with the finance team to streamline travel policies and ensure timely reimbursements
Assist in project management tasks, such as budget monitoring, document filing, and preparing reports or presentations.
Requirements:
Proven experience in office management or executive-level administrative support
Strong proficiency in Microsoft Office Suite and tools like Google Calendar
Excellent organizational skills with the ability to manage multiple priorities and deadlines
Familiarity with travel coordination, including booking, visas, and expense tracking
Exceptional written and verbal communication skills, including drafting precise and well-structured correspondence
Experience in event planning and logistics management
Ability to handle sensitive information with confidentiality and discretion
Knowledge of procurement and vendor management processes.
