We are seeking a highly organized and detail-oriented Office Manager with proven expertise in certified payroll processes in Tukwila, WA. The ideal candidate will have strong administrative skills, experience managing office operations, and a solid understanding of certified payroll compliance requirements, particularly in industries like construction or public works. This role is essential for ensuring smooth office administration while maintaining accurate and compliant payroll records in adherence to federal, state, and local regulations.
Job Responsibility:
Oversee daily office operations, including managing supplies, vendor relationships, and office equipment
Coordinate administrative support for team members, including scheduling, meeting arrangements, and correspondence
Implement and uphold office procedures to maintain efficiency and organization
Supervise administrative staff and provide training or mentoring as needed
Act as the primary point of contact for office vendors, ensuring timely services and issue resolution
Perform and oversee certified payroll processes, ensuring accurate and timely submissions to meet prevailing wage and compliance requirements
Review and maintain certified payroll reports, including timecards and payment records, to ensure compliance with Davis-Bacon Act or state-specific labor requirements
Prepare and submit certified payroll documentation to contractors, government agencies, or clients
Respond to payroll-related inquiries from employees, government representatives, or clients
Keep updated on federal, state, and local labor laws as they pertain to certified payroll compliance
Maintain secure and organized payroll and compliance records for auditing purposes
Requirements:
Minimum of 3–5 years in office management with a strong focus on payroll administration
Experience with prevailing wage laws, Davis-Bacon reporting, and certified payroll requirements
Bachelor’s degree in Business Administration, Accounting, or a related field is preferred but not required
Proficiency in payroll software
familiarity with QuickBooks, ADP, Paycom, or similar systems
Strong Excel skills, including pivot tables and formulas
Understanding of Washington state labor laws and public works payroll compliance
Ability to multitask, meet deadlines, and maintain accuracy under pressure
Strong written and verbal communication skills
Nice to have:
Experience working in industries such as construction, government contracting, or public works projects
Certified Administrative Professional (CAP) credential or other relevant certifications
Familiarity with union payroll or labor contracts
