We are looking for an experienced Office Manager for our client in Baton Rouge, Louisiana. In this role, you will oversee daily operations within a legal office setting, ensuring smooth workflow and efficient processes. This is a short-term contract to full time employment opportunity.
Job Responsibility:
Manage incoming and outgoing communications, including answering and directing calls and handling mail distribution
Maintain organized client records by creating folders, updating systems, and ensuring compliance with legal timelines
Draft and send detailed correspondence, including basic letters and case-related communications
Process and manage medical documentation, including ordering, organizing, and preparing materials for legal use
Assist with case settlements by preparing disbursement sheets and ensuring accurate reporting
Oversee office supplies by monitoring inventory and placing orders as needed
Provide support for written discovery, e-filing lawsuits, and preparing materials for trial
Collaborate with the part-time bookkeeper on financial tasks and ensure accurate record-keeping
Utilize Microsoft Word and Excel to create spreadsheets, maintain client databases, and manage administrative tasks
Perform miscellaneous duties such as maintaining status lists and assisting with litigation-related files
Requirements:
Proven experience in office management, preferably within a legal environment
Proficiency in Microsoft Office Suite, particularly Word and Excel
Familiarity with accounting functions such as accounts payable and accounts receivable
Strong organizational skills and the ability to manage multiple tasks efficiently
Excellent verbal and written communication skills
Experience with e-filing systems and legal discovery processes
Ability to collaborate effectively with team members and external stakeholders
Knowledge of CRM systems or similar tools for database management
