We are looking for a proactive part-time Office Manager to oversee daily operations and maintain a well-organized workspace in San Francisco, California. This role combines administrative, operational, and visitor support responsibilities to ensure smooth office functions and an exceptional experience for staff and guests. Job Responsibility:
Manage document workflows for executives, including printing, preparation, mailing, and coordinating services such as notary and apostille
Oversee visitor schedules, office reservations, and access card distribution while ensuring meeting spaces are properly prepared
Maintain a clean and organized office environment, including common areas, conference rooms, and kitchens
Monitor and manage office supplies, snacks, beverages, and storage areas to ensure availability and tidiness
Act as the primary point of contact for vendors, building management, and service providers, handling deliveries and coordinating facilities-related requests
Track office spending, manage recurring orders, and support purchasing decisions with basic budgeting knowledge
Assist with meetings and events by setting up rooms, arranging catering, and managing A/V equipment
Facilitate onboarding and offboarding processes, including desk setup, badge collection, and collaboration with HR and IT
Coordinate weekly breakfast and lunch programs while supporting office culture initiatives and social events
Respond promptly to employee and client requests, providing attentive and discreet assistance
Requirements:
Minimum of 2 years of experience in office coordination or administrative roles
Proven ability to handle operations independently while collaborating effectively across teams
Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment
Excellent communication and problem-solving abilities
Proficiency in Microsoft Office and familiarity with common workplace tools
Experience supporting executives and managing sensitive information
Knowledge of basic budgeting and purchasing processes
Comfort working with vendors and service providers to ensure seamless operations
