We are seeking a highly organized and proactive Office Manager to oversee daily administrative operations for our clients, a fast-paced construction company. This role ensures smooth office workflow, supports project teams, and handles a wide range of tasks from accounting support to vendor coordination. The Office Manager is a critical member of the team, helping to keep projects running efficiently and the office operating at a high level.
Job Responsibility:
Manage day-to-day office operations, including filing, scheduling, communications, and administrative systems
Serve as the first point of contact for internal staff, clients, vendors, and subcontractors
Oversee office supplies, equipment, and maintenance needs
Maintain project files, contracts, insurance certificates, and construction documents
Assist project managers with tracking permits, submittals, and compliance documentation
Coordinate onboarding and records management for new employees, subcontractors, and vendors
Organize internal meetings, safety training, and assist with HR-related functions when needed
Ensure the office remains compliant with health, safety, and employment standards
Requirements:
3+ years of office management or senior administrative experience
construction or trades industry experience is strongly preferred
Strong understanding of construction processes, terminology, and documentation is a plus
Proficiency with Microsoft Office Suite (Word, Excel, Outlook)
experience with construction software (e.g., Procore, QuickBooks, Buildertrend, or Sage) is highly desirable
Excellent communication, organization, and multitasking skills
Ability to work independently and take initiative in a fast-paced environment
Attention to detail and a strong sense of accountability
Nice to have:
Strong understanding of construction processes, terminology, and documentation
experience with construction software (e.g., Procore, QuickBooks, Buildertrend, or Sage)
