MATTE is looking for a highly responsible, hospitality-minded Office Experience & Operations Manager to run our New York headquarters. This is more than a logistical role, it’s about shaping the day-to-day culture and elevating the experience of being in the office. You will be the face of MATTE’s in-office experience, responsible for creating an inspiring, aesthetically thoughtful, and operationally seamless environment where our team can do their best work. You will lead initiatives that promote team connection and culture, from monthly in-office events to seasonal celebrations. The ideal candidate is proactive, deeply organized, an excellent communicator, and passionate about hospitality, design, and team culture. You should be comfortable juggling multiple priorities in a fast-paced, creative agency environment.
Job Responsibility:
Oversee general office communications, announcements, and overall operations of MATTE’s New York headquarters
Order and maintain inventory of kitchen, office, and facilities supplies
Liaise with facility management vendors, including cleaning, catering, and security to ensure high-level, ongoing services and seamless operations
Manage, coordinate, and schedule all system maintenance and repairs
monitor system performance
Implement and supervise maintenance programs related to interior and exterior conditions and appearance of the office
Manager all IT responsibilities with our IT vendor
Manage front desk operations, including reception, package/mail intake, office access, and employee requests
Support scheduling needs and ad-hoc operations projects with the People, Operations and Executive teams
Ensure all common areas (lobby, kitchen, restrooms, meeting rooms) are always maintained to the highest standard of cleanliness and design aesthetic
Act as the culture ambassador for the office — welcoming guests and employees, and ensuring a warm, elevated, and consistent experience
Lead monthly in-office events and cultural moments (team happy hours, birthdays, community initiatives, themed days, etc.) in collaboration with internal stakeholders
Own planning and execution of larger-scale company celebrations, including our annual holiday party and milestone events
Develop and uphold a thoughtful and elevated aesthetic across the office — including decor, furniture, styling, signage, and ambiance
Ensure that MATTE’s office space reflects our brand sensibility, creative energy, and commitment to excellence at all times
Proactively seek ways to improve the day-to-day office experience, from sourcing better snacks to curating playlists or refining meeting room setups
Requirements:
Ability to be onsite Monday–Friday, 9:30 AM–6:00 PM
Able to lift up to 15 lbs
2+ years of experience in office or facilities management, ideally in a creative or agency environment
Strong background or interest in hospitality, office culture, or experience design
A proactive, positive, and resourceful attitude with a high level of ownership
Strong proficiency in IT system and roll-out
Warm, approachable demeanor with excellent interpersonal communication skills
Exceptionally detail-oriented, organized, and calm under pressure
A genuine passion for creating thoughtful, inspiring environments where people want to be
