This role supports the organization and maintenance of patient records and plays a key part in ensuring accurate documentation and compliance with privacy regulations across multiple service locations.
Job Responsibility:
Sort, file, and retrieve patient records in both paper and electronic formats
Scan and upload documents into the electronic records system with proper indexing
Respond to internal requests for patient information in a timely and secure manner
Prepare files for audits, reviews, and other administrative processes
Track and log the movement of records to maintain accurate documentation
Ensure all records are stored securely and in compliance with HIPAA regulations
Assist with purging and archiving outdated files according to retention policies
Maintain confidentiality when handling sensitive information or legal requests
Support clerical tasks such as data entry, copying, and document preparation
Communicate with staff to resolve missing or incomplete documentation
Requirements:
High school diploma or GED required
coursework in medical office administration is a plus
At least 1 year of experience in a healthcare or administrative support role
Familiarity with electronic health record (EHR) systems and scanning software
Basic understanding of HIPAA and patient privacy regulations
Strong organizational skills and attention to detail
Ability to work independently and manage multiple tasks efficiently
Professional communication skills and a team-oriented mindset
