We are looking for an experienced Front Desk Coordinator to join our team in Tustin, California. This is a long-term contract position ideal for someone who thrives in a fast-paced environment and enjoys providing exceptional administrative and customer service support. The role involves a mix of administrative, accounting, and operational responsibilities, requiring strong organizational skills and attention to detail.
Job Responsibility:
Greet and assist visitors, ensuring a welcoming and detail-oriented front desk experience
Manage multi-line phone systems, directing calls and taking messages as needed
Support daily operations by coordinating schedules, overseeing inventory, and conducting room inspections
Maintain accurate financial records, including accounts payable and receivable, payroll, and general ledger entries
Process invoices and ensure timely entry of financial data
Assist with budget preparation and forecasting processes
Coordinate audits by preparing schedules and supporting documentation
Handle monthly close processes, including journal entries, account reconciliations, and variance analysis
Develop and implement organizational systems to optimize efficiency
Provide bilingual support in Spanish and English to enhance communication with staff and clients
Requirements:
Minimum of 5 years of experience in administrative and accounting roles
Proficiency in Microsoft Office Suite, including Excel, Word, and Outlook
Strong customer service and interpersonal skills
Ability to manage multi-line phone systems effectively
Excellent organizational and file management abilities
Skilled in data entry with high accuracy and attention to detail
Ability to work independently and as part of a team in a dynamic environment
Bilingual proficiency in Spanish and English is required
