The ideal candidate will be the first point of contact for visitors and callers, providing exceptional service while managing administrative tasks efficiently. Job Responsibility:
Greet and assist visitors with a welcoming and attentive demeanor
Manage a multi-line phone system, ensuring calls are directed to the appropriate person or department
Maintain organized records and files, updating them as necessary
Schedule and coordinate appointments effectively, ensuring all details are accurately documented
Handle email correspondence promptly and courteously, addressing inquiries or forwarding messages as needed
Perform data entry tasks with precision, ensuring information is accurate and up-to-date
Utilize Microsoft Word, Excel, and Outlook for various administrative tasks and reporting
Ensure the reception area is tidy and presentable, creating a positive impression for guests
Provide support to other departments as needed, assisting with special projects or tasks
Demonstrate strong interpersonal skills to build positive relationships with clients and colleagues
Requirements:
Proficiency in managing multi-line phone systems and directing calls efficiently
