We are looking for an organized and customer-focused Front Desk Clerk to join our team. This role involves providing exceptional administrative and front desk support while ensuring smooth communication with the public and internal departments. As this is a long-term contract position, we seek candidates who are dedicated and capable of handling a variety of tasks in a governmental setting.
Job Responsibility:
Welcome visitors and provide assistance with inquiries at the front desk, ensuring a positive and attentive experience
Distribute and manage forms such as claims, complaints, public records requests, and other required documents, including offering Spanish translation support when needed
Record and relay complaints to appropriate departments, maintain tracking systems, and follow up with staff and the public as required
Prepare meeting spaces by setting up necessary documentation, equipment, and supplies
Maintain and organize city clerk files, including agreements, resolutions, ordinances, and other administrative records
Receive and document bids, forms, and other submissions at the front counter or via mail for delivery to the city clerk
Process administrative citations for violations, including payment collection and tracking non-compliance cases
Requirements:
Minimum of 5 years of experience in an administrative or customer service role
Proficient in Microsoft Excel and Microsoft Word for efficient data management and reporting
Exceptional communication skills, including fluency in Spanish for effective interaction with diverse populations
Strong organizational abilities to handle multiple tasks and maintain accurate records
Proven ability to deliver excellent customer service in high-pressure situations
Detail-oriented mindset to ensure accuracy in processing applications, licenses, and payments
Familiarity with data entry practices and tracking systems
Ability to work collaboratively with city staff and departments
