Job Description:

The FLEX Program Specialist in the Global Design organization is responsible for maintaining the integrity of purchase orders in our system and supporting Global Design Procurement as a whole.

Job Responsibility:

  • Monitors general email inbox for assigned tasks
  • Analyzes emails and converts complex information into simple readable form
  • Pulls relevant information from emails to distribute to the various teams
  • Updates purchase orders (PO’s) with clear and accurate information
  • Reaches out to vendors for clarification when needed via email and phone
  • Reaches out to internal teams regarding questions or updates that the teams need to know immediately
  • Runs processes to fix and dispatch purchase orders
  • Runs queries in system as assigned
  • Maintains and manage reports on E-Procurement vendors
  • Maintains supplier contact database
  • Creates Purchasing and Expediting reports and email out to all on distribution list
  • Enters shipping report comments into the system
  • Effectively translates ideas into actions
  • Juggles multiple responsibilities and conflicting demands
  • Develops and follows procedures for ensuring quality, is detail‐oriented, maximizes resources, meets deadlines, and follow through on assignments
  • Successfully completes all assigned tasks with limited supervision, be proactive and work well in a fast-paced team environment

Requirements:

  • High school diploma or GED
  • One or more years’ experience in procurement
  • Demonstrated ability to deliver results under difficult conditions
  • Proficient in Word, Outlook, PowerPoint, and Excel
  • Strong verbal and written communications skills
  • Demonstrated ability to build strong working relationships
  • Strong technical acumen for written communications

Nice to have:

  • 4-year degree from an accredited university
  • Experience in hospitality design industry
