Job Responsibility:
Supervise and monitor the performance of a small team of multi-skilled operatives, ensuring tasks are completed efficiently and to a high standard
build and maintain effective working relationships with key client stakeholders, landlords, managing agents, and external facility vendors
coordinate and oversee contractors on-site, ensuring adherence to required standards and compliance with safety protocols
assist in the procurement process by sourcing vendors and services that align with operational needs
support financial processes, ensuring timely and accurate completion of budgeting, invoicing, and reporting requirements
utilize Computerized Maintenance Management Systems (CMMS) to track and manage work orders effectively
ensure conference rooms and other shared spaces are maintained and operate seamlessly
provide excellent customer service, addressing facility-related inquiries and resolving issues promptly
communicate effectively with team members and stakeholders to ensure smooth operations and information flow
assist with the implementation and monitoring of timekeeping and scheduling systems, such as Kronos and About Time.
Requirements:
Proficiency in Computerized Maintenance Management Systems (CMMS) and other facility management tools
familiarity with systems such as Concur, IBM AS/400, Kronos Timekeeping System, and About Time
strong skills in Microsoft Excel, Outlook, and other Microsoft Office applications
experience with budgeting processes and financial management within facilities operations
excellent communication and interpersonal skills to foster collaboration among stakeholders
proven ability to manage work orders and ensure timely task completion
customer service experience, particularly in addressing facility-related needs
organizational skills and attention to detail for overseeing contractors and maintaining operational standards.
