We are looking for a highly skilled and meticulous Executive Associate to provide comprehensive administrative support to senior leadership in a long-term contract position. The role involves managing daily operations, schedules, and communications for a team of executives onsite in New York.
Job Responsibility:
Manage and prioritize complex calendars, scheduling meetings, appointments, and travel arrangements to ensure seamless operations
Coordinate and prepare for meetings, conferences, and events by organizing agendas, materials, and detailed meeting minutes
Arrange travel logistics, including flights, accommodations, and itineraries, to support efficient executive travel
Draft, edit, and proofread documents, reports, and presentations with a high level of accuracy
Track and process expense reports, ensuring compliance with organizational policies and guidelines
Safeguard confidential information and maintain discretion in all interactions
Assist with project management tasks by conducting research, analyzing data, and providing administrative support
Serve as a key point of contact for internal and external stakeholders, ensuring prompt and precise communication
Monitor and manage multiple priorities in a fast-paced environment to meet deadlines effectively.
Requirements:
Proven experience as an executive assistant or in a similar role, preferably supporting senior leaders or C-suite executives
Strong proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook
Exceptional organizational and time management skills with the ability to multitask effectively
Excellent verbal and written communication skills, with a detail-oriented demeanor and significant experience
High level of discretion and integrity in handling sensitive and confidential information
Ability to work independently while maintaining a proactive and adaptable approach to tasks
Experience coordinating travel arrangements and managing expense reporting systems
Demonstrated ability to thrive in a fast-paced, dynamic environment.
