We are looking for a highly organized and proactive Executive Assistant to join our client's team on a contract to hire basis. This role involves providing essential administrative support to ensure the smooth functioning of executive-level operations. Based in Dunedin, Florida, this position offers the chance to contribute to a dynamic and growing organization dedicated to supporting nonprofit initiatives.
Job Responsibility:
Manage executive calendars, ensuring appointments are scheduled and conflicts are resolved efficiently
Coordinate and arrange travel plans, including flights, accommodations, and itineraries
Organize and prepare materials for executive meetings, ensuring all resources are readily available
Maintain effective communication with internal and external stakeholders to support executive-level activities
Provide administrative support such as drafting correspondence, managing files, and handling confidential information
Act as a liaison between executives and team members to facilitate smooth workflow and collaboration
Monitor and prioritize incoming requests to ensure timely responses and resolution
Assist in planning and coordinating events or special projects as needed
Implement and maintain organizational systems to improve operational efficiency
Track and report on key activities to support decision-making processes
Requirements:
Proven experience as an Executive Assistant or in a similar administrative role
Proficiency in calendar management and scheduling tools
Strong ability to coordinate and book travel arrangements with attention to detail
Excellent organizational and time-management skills
Effective communication skills, both written and verbal
High level of discretion and ability to handle confidential information
Proficiency in Microsoft Office Suite and other relevant software
Ability to multitask and adapt to changing priorities in a fast-paced environment
