We are looking for an Executive Assistant to provide high-level administrative support to the Chief Financial Officer of a non-profit organization based in Washington, District of Columbia. This contract-to-permanent position requires a proactive individual with exceptional organizational skills who can manage a variety of tasks in a fast-paced executive environment. The ideal candidate will play a key role in ensuring the seamless operation of the CFO’s office while maintaining confidentiality and a high standard of conduct.
Job Responsibility:
Manage the CFO’s complex calendar by scheduling and coordinating meetings, appointments, and related logistics
Organize travel arrangements, including booking flights, accommodations, and transportation, while ensuring cost efficiency
Prepare agendas, compile relevant documents, and record detailed minutes for meetings, tracking follow-up actions as needed
Screen and prioritize incoming communications, responding promptly and accurately to inquiries
Assist in creating and reviewing presentations, reports, and other documents, ensuring accuracy and alignment with organizational standards
Coordinate logistics for board meetings, finance committee sessions, and executive leadership team gatherings
Process expense reports, invoices, and assist in monitoring departmental budgets
Support special projects and handle ad hoc requests, ensuring timely and efficient delivery of results
Uphold confidentiality and discretion in handling sensitive information related to the organization and executive leadership
Maintain a structured and organized workflow to ensure the CFO’s office operates efficiently
Requirements:
Proven experience in supporting C-suite executives or senior leadership, preferably within finance or accounting sectors
Advanced organizational and multitasking capabilities to handle diverse responsibilities
Strong written and spoken communication skills to interact professionally with stakeholders
Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint, as well as virtual meeting platforms
Ability to work independently, anticipate executive needs, and proactively solve problems
Bachelor’s degree is preferred, though equivalent experience may be considered
Demonstrated ability to maintain confidentiality and professionalism in high-pressure situations
Customer-focused mindset with a strong sense of initiative and attention to detail
