We are looking for a highly organized and proactive Executive Assistant to join our team on a contract basis in Richmond, Virginia, with an opportunity to convert permanently. In this role, you will serve as a key point of contact, providing executive-level administrative support while ensuring smooth office operations. The ideal candidate thrives in a dynamic environment and is skilled in managing schedules, coordinating meetings, and handling travel arrangements.
Job Responsibility:
Oversee office management tasks, including maintaining supplies, equipment, and technology resources to support employees effectively
manage executive calendars, schedule appointments, and arrange travel accommodations for leadership and board members
serve as the primary point of contact at the office, welcoming visitors and ensuring a meticulous front-of-house experience
coordinate and facilitate Board of Directors and Leadership Tactical meetings, including preparing meeting packets and recording minutes
process technology-related requests to ensure the team has the tools they need to perform efficiently
attend board meetings to take detailed notes and manage meeting minutes
interact with employees and volunteers across all levels of the organization in a courteous and respectful manner
ensure smooth communication and collaboration between the executive team and other departments.
Requirements:
Minimum of 2 years of experience as an Executive Assistant or in a similar administrative role
required experience with Google Suite, general tech savviness
proficiency in managing executive calendars and scheduling appointments
proven ability to coordinate and arrange travel plans, including booking accommodations and transportation
strong communication and interpersonal skills to interact effectively with diverse stakeholders
experience in preparing meeting materials and taking accurate meeting minutes
familiarity with office technology and resource management
high level of discretion and professionalism when handling sensitive information.
