We are looking for an experienced Executive Assistant to join our client's team in Portland, Oregon. In this long-term contract role, you will provide critical support to senior leadership by managing daily operations and streamlining administrative tasks. Job Responsibility:
Coordinate and manage executive calendars, ensuring efficient scheduling of meetings and appointments
Prepare and organize materials for executive meetings, including agendas, reports, and presentations
Oversee day-to-day office functions to maintain smooth operations and a well-organized environment
Handle administrative tasks such as document management, correspondence, and data entry with accuracy
Answer inbound calls, providing thoughtful responses and redirecting inquiries as needed
Greet and assist guests, ensuring they feel welcomed and directed appropriately
Screen and manage phone calls, connecting stakeholders with the appropriate contacts
Collaborate with various teams to ensure alignment on administrative priorities and deadlines
Requirements:
Minimum of 5 years of experience in an Executive Assistant or similar administrative role
Proven expertise in managing calendars and scheduling for senior leadership
Strong organizational skills with the ability to prioritize tasks effectively
Excellent verbal and written communication abilities
Proficiency in office software and administrative tools
Detail-oriented approach with a commitment to confidentiality and discretion
Ability to multitask and adapt in a fast-paced environment
Experience in handling inbound calls and guest interactions
