Job Description:

We are looking for an Events Operations Manager to be the operational engine behind Intercom’s Brand Events and activations. This role is for someone who brings order, clarity, and momentum to complex work. You will make sure vendors are set up correctly, procurement and finance processes run smoothly, and nothing slows a project down because of avoidable operational friction. You will work closely with the Brand Events team, Finance, Procurement, IT, and our external partners. Your work will create the conditions for producers and project leads to focus on delivering high quality, on brand events. When this role is working well, vendor onboarding and payments are predictable, operational risks are surfaced early, and event teams can execute at pace without distraction.

Job Responsibility:

  • Own vendor onboarding end to end, ensuring all suppliers are set up correctly and on time so work can begin without friction
  • Be the main point of contact for vendors during procurement, clearly guiding them through requirements and resolving issues quickly
  • Partner closely with Procurement and Finance to keep documentation, systems, and approvals moving smoothly
  • Work with project leads early in planning to surface procurement, finance, or operational requirements before they become blockers
  • Maintain clear visibility into vendor status, onboarding progress and upcoming payment deadlines, flagging risks early
  • Support project leads by raising and managing purchase orders aligned to approved budgets
  • Draft, route, and maintain Statements of Work based on scope and commercial documentation provided by project leads, ensuring everything is accurate, compliant, and easy to find
  • Manage PO changes and top ups throughout the project lifecycle so spend stays visible and controlled
  • Coordinate operational details that span multiple projects, reducing friction and duplication for project leads
  • Maintain visibility into shared Brand Events assets and vendor logistics so teams can plan confidently and avoid last minute gaps
  • Ensure operational follow through after delivery, supporting clean project wrap and accurate record keeping

Requirements:

  • 4+ years experience working in live events or production operations, with a strong understanding of fast paced, deadline driven environments
  • Strong operational and organisational skills, with consistent attention to detail and follow through
  • Experience translating plans into clean execution, working with procurement, finance and vendor management processes
  • Clear and confident communication with external vendors and internal partners, especially when timelines are tight
  • A proactive mindset, spotting risks early and acting before they impact delivery
  • Comfort working across multiple systems and tools, with the ability to learn new processes quickly
  • Comfort using AI tools to streamline operational workflows, improve documentation and reduce manual overhead
  • Ability to stay calm, reliable, and solutions focused under pressure
  • Deep respect for brand consistency and high quality execution

Nice to have:

  • Experience supporting large scale live events, conferences, or multi day brand activations
  • Background in agency, production company, or fast growing in house brand teams
  • Familiarity with procurement, finance, and contract tools such as Zip, Ironclad, Workday, Navan, or Expensify
  • Multilingual (Spanish, French, Portuguese)
  • Experience working with event software platforms (e.g. ticketing, streaming, engagement tools)
