Job Description:

The Events Coordinator plays a key support role in the planning process. This position works closely with Sales, Catering, Marketing, Banquets, and Operations to ensure seamless communication and accurate documentation. This is an ideal opportunity for a highly organized, proactive hospitality professional who thrives in a fast-paced resort environment and enjoys working with events.

Job Responsibility:

Assist in coordinating weddings, corporate meetings, group events, and social functions
Prepare Banquet Event Orders (BEOs), room diagrams, timelines, and internal documentation
Communicate event details clearly with operational departments
Support site visits, tastings, and client meetings as needed
Ensure contracts, deposits, and event documentation are tracked accurately
Partner with Marketing on event promotions, social media content, and resort activations
Help maintain updated event collateral and promotional materials
Orders according to brand standards
Maintain accurate event files and CRM records and answers incoming calls
Assist with reporting, event forecasting, and revenue tracking
Respond to event inquiries in a timely and professional manner
Coordinate with vendors and external partners as needed

Requirements:

1–3 years of experience in hospitality, events, catering, sales, or marketing
Resort or hotel experience strongly preferred
Exceptional organizational and multitasking skills
Strong written and verbal communication abilities
Proficiency in Microsoft Office
experience with event management or CRM systems preferred
Ability to work flexible hours, including evenings and weekends when events require
Professional demeanor with strong client-facing skills
Ability to stand/walk for extended periods during events
Ability to lift up to 25 pounds
Ability to work indoors and outdoors in a resort environment
