We are looking for an Event Coordinator to join the WeHero team who is passionate about creating meaningful volunteer experiences and thrives at the intersection of planning, logistics, and communication. In this role, you’ll play a key part in creating memorable volunteer experiences that embody the WeHero brand and meet client expectations. Our events range from small-scale gatherings of 10 people to large-scale virtual and in-person events of over 500 participants. You’ll be at the heart of planning, logistics, and communications to deliver seamless and impactful events.
Job Responsibility:
End-to-End Event Logistics: Manage all aspects of event logistics from planning through execution, tailoring each detail to meet event objectives and client needs
Smooth Execution & Problem Solving: Ensure events run seamlessly and respond to any unexpected issues with quick, solution-focused approaches
Effective Communication: Serve as the communication bridge between clients, vendors, and nonprofit partners to deliver clear, timely, and professional interactions
Budget Management: Oversee event budgets and track expenses efficiently to keep within event margins
Brand-Centric Event Collateral: Create high-quality event collateral (promotional materials, event pages, and volunteer experience guides) with a strong focus on WeHero’s brand identity
Requirements:
Project Management Excellence: 2+ years experience in project management, ensuring all event components are organized and streamlined
Quality Control: Attention to detail across all event aspects, from logistics to communication, ensuring high Brand standards
Adaptability & Flexibility: Ability to adjust to changes and adapt plans as needed, while staying solution-focused
Passionate about Relevant Research: Actively seek out knowledge on current global topics and nonprofits from reliable, data-driven sources to enrich event experiences for clients
