Job Description:

Join Acden Mechanical as a Customer Service Representative — be the friendly front desk, handle calls, schedule visits, and support operations in a sustainable, collaborative team. As the first point of contact for clients and visitors, you will be responsible for managing the front desk, handling incoming calls, scheduling appointments, and supporting daily operations to ensure smooth and efficient service. In this role, you’ll assist with general administrative tasks related to customer service and shop operations, playing a vital part in maintaining a positive and organized environment.

Job Responsibility:

  • Greet and welcome customers, visitors, and vendors in a professional and friendly manner
  • Answer phone calls, take messages, and direct inquiries to the appropriate department or staff member
  • Provide information about services, pricing, and availability as required
  • Schedule service appointments, repairs, or maintenance for clients based on shop availability
  • Maintain accurate records of appointments, service requests, and customer details
  • Remind customers of upcoming appointments or follow-up actions, ensuring high customer satisfaction
  • Perform general administrative duties such as filing, data entry, and managing office supplies
  • Ensure the front office area is clean, organized, and well-maintained at all times
  • Process payments from customers for services rendered, including cash, credit and debit cards
  • Generate invoices and receipts for customers
  • Support Service Advisors with generating work orders
  • Other duties as assigned which may assist with full services of Acden Mechanical Repair & Maintenance

Requirements:

  • Minimum 3 years' experience in an administrative or customer service role, preferably in an automotive or maintenance environment is required
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other office equipment is required
  • Excellent organizational skills with the ability to multitask and prioritize effectively
  • A highly motivated attitude

Nice to have:

  • Certified Customer Service Professional (CCSP) is an asset
  • A Class 5 driver's licence with a clean driver's abstract is an asset
  • Experience in utilizing Field Glass / SAP, and/or Shop Monkey is an asset
