The Contingent Workforce Administrator is responsible for the administration, coordination, and ongoing management of the contingent and profile worker workforce supporting the JV (SPC). This role serves as the central point of coordination for contingent worker tracking, contract renewals, system entry, approvals, and cross-functional communication with HR, Recruiting, Onboarding, IT, Legal, and external suppliers. The position ensures accurate workforce data, timely contract management, compliance with internal processes, and effective communication with hiring managers and external partners. This role plays a critical part in maintaining visibility, compliance, and operational continuity across the contingent workforce population.
Job Responsibility:
Track all contingent workers (CW) and profile workers (PFW), including contract start dates, end dates, renewals, extensions, and terminations
Maintain accurate records of contingent worker populations supporting the JV (SPC), including active, pending, and upcoming contract changes
Monitor and manage contract renewal timelines to ensure continuity of service and avoid lapses in coverage or system access
Coordinate and track approvals for all new contingent worker requests and additional headcount requests in accordance with internal approval processes
Partner with HR leadership or designated approvers to obtain required approvals and route approved requests to appropriate administrators or teams
Ensure contingent workforce usage aligns with approved headcount and contractual arrangements
Partner and collaborate with HR Business Partners at SPC international sites regarding all contingent and profile worker matters
Serve as a key point of contact for hiring managers, providing updates on contractor status, onboarding progress, renewals, and offboarding as needed
Proactively communicate contingent workforce changes, risks, or timing considerations to relevant stakeholders
Enter and maintain contingent worker (CW) and profile worker (PFW) records in UKG, ensuring data accuracy and completeness
Update worker status changes, contract dates, and assignments in HR systems in a timely manner
Support audits and reporting by ensuring HRIS records accurately reflect the contingent workforce population
Initiate IT tickets for all contingent and profile workers to support system access, equipment requests, and onboarding needs
Coordinate with hiring managers regarding access requirements and direct them to work with Baker IT for Baker-specific system access, where applicable
Support timely access provisioning and deactivation aligned with contract start and end dates
Work closely with Legal, Talent & Acquisition (T&A), and Onboarding teams on new or amended agreements with contingent workforce suppliers
Support documentation, tracking, and administrative coordination for supplier agreements related to the contingent workforce
Ensure proper alignment between approved agreements and contingent worker onboarding and system access
Serve as a primary point of coordination with an MSP regarding contingent workforce matters, including onboarding status, contract changes, and workforce reporting
Maintain effective working relationships with external vendors to support timely and compliant contingent workforce management
Maintain accurate contingent workforce data to support internal reporting, audits, and compliance reviews
Support continuous improvement of contingent workforce processes, documentation, and tracking tools
Ensure all activities are completed in accordance with company policies, JV requirements, and applicable regulations
Perform additional administrative or project-based duties related to contingent workforce management as assigned
Provide cross-functional support to HR, Recruiting, and Onboarding teams as business needs require
Requirements:
Bachelor’s degree in human resources, Business Administration, or related field preferred (or equivalent experience)
3–5+ years of experience in HR administration, contingent workforce management, recruiting coordination, or related roles preferred
Experience supporting contingent workforce administration, HR operations, or workforce coordination in a corporate or multinational environment
Strong attention to detail and ability to manage multiple contract timelines and data points simultaneously
Experience working with HRIS systems (UKG preferred) and workforce tracking spreadsheets
Ability to work cross-functionally with HRBPs, Recruiting, Onboarding, Legal, IT, and external vendors
Strong written and verbal communication skills
Comfortable working with sensitive workforce and contractual information with discretion
Ability to manage competing priorities and deadlines in a fast-paced environment
Proficiency in Microsoft Office (Excel, Word, Teams)
