Job Responsibility:

  • Reports to the Principal/Construction Project Manager
  • Properly communicate information regarding selections to the Principal/Construction Project Manager, Project Architect, Project Manager, and client as appropriate and in a timely manner
  • Prior to all client meetings, share all information that will be presented to a client in the meeting with the Project Team members
  • Promote, discuss and offer ADC’s Interior Design services when clients have not selected an Interior Designer for their project
  • Maintain and enhance client relationship with ADC
  • Walk client through the selections process
  • Ensure that they understand the phases of construction
  • Notify suppliers when ADC clients will visit them, if possible
  • Provide Construction Manager with selections prior to client sign-off on Final Budget Estimate
  • Assist the Construction Manager putting the selections out to bid with trade contractors and suppliers
  • Acquire finish selection material quotations
  • Inform client of all budgetary concerns related to selections
  • Proactively discuss with the Client, the limits of Selections Coordination when necessary, when Client’s do not have their own Interior Designer and are requesting Interior Design services
  • Obtain client approval for Selections Sheets prior to client approval of Final Budget Estimate
  • Create Change Orders with the approval of the Project Manager, for all changes in selections after Selection Sheets are approved by client
  • Communicate Change Orders for selections to the Project Architect, Project Designer, Construction Manager, supplier and/trade contractor, as appropriate
  • Research and assist in the resolution of billing discrepancies related to finish selections
  • Review project invoices for selections as requested by Project Manager

  • Manage client expectations: schedule, budget, and project scope
  • Establish due dates for all finish selections for client
  • Educate client concerning the process and importance of obtaining selections on schedule
  • Obtain selections on schedule and before construction starts
  • Record all selections
  • Obtain client approval in writing before construction starts
  • Provide client with regular project status reports throughout the design phase
  • Coordinate with consultants to meet project requirements
  • Meet project schedule and budget for design services to maintain profitability
  • Maintain complete project file: document all correspondence, meetings, approvals, and consultant information
  • Provide support to other design team members when needed
  • Attend preliminary design meetings with the client
  • Create a report of all decisions and client requests for each meeting
  • Provide programming to meet client’s budget and project requirements
  • Develop conceptual design solution within project schedule
  • Actively work with design team to improve design
  • Develop computer skills to aid in project delivery and produce construction documents according to ADC Architectural standards
  • Learn to prepare an initial cost estimate
  • Obtain finish selection approval from the client prior to construction
  • Prepare a specification/cutsheet references on all Finish Selections for the Project Manager before construction begins
  • Research sources for materials and supplies for Construction
  • Research specialty and new products
  • Facilitate meetings between suppliers and the Architects, Project Managers and Principal/Construction Project Manager regarding the latest product and pricing information
  • Review plans and specifications for quality control prior to review by Principals
  • Prepare applications for submittals
  • Attend regular project team meetings with project manager and/or superintendent
  • Perform site visits to observe progress of work and verify conformance with plans and specifications
  • Send regular reports to clients regarding site visits
  • Conduct walk-throughs during construction to ensure that finish selection decisions are being carried out
  • Review shop drawings, for potential discrepancies/conflicts with the contract drawings or specifications
  • Keep detailed records of addendums, with approval from clients
  • Provide Construction manager with current set of plans and specifications, with changes clearly noted
  • Proactively solve design issues that come up during construction
  • Participate in a post-construction evaluation and critique of the entire project and make recommendations for improvement
  • Provide selections information resource to the Administrative Assistant for the Products and Warranties Information for client 30 days prior to turnover
  • Work with Construction Project Manager and Office Manager to facilitate 30 Day closing and warranty procedures
  • schedule Client Orientation with suppliers, trades and appliance suppliers as appropriate
  • make final preparations for the house prior to turnover
  • Bring in new clients and continue to work with existing clients on new projects
  • Help identify and recruit outstanding new team members, when appropriate
  • Complete accurate and detailed timecards, noting additional services where applicable
  • Use administrative time effectively, to improve operations of company
  • Keep a clean and organized work environment
  • File drawings and project files appropriately
  • Assist in general office duties as needed
  • Maintain regular work hours, and schedule time away from work in advance with Principals
