We are looking for a detail-oriented Administrative Coordinator to join our team on a contract basis in Houston, Texas. In this role, you will oversee the planning and execution of high-profile meetings and events, ensuring smooth operations and exceptional client experiences. Job Responsibility:
Coordinate and manage high-profile meetings and events, including logistics, physical arrangements, and technical support
Consult with clients to assess event requirements such as space setup, catering, and audio/visual needs
Handle scheduling operations using client scheduling software to ensure optimal use of conference facilities
Collaborate with vendors, facilities teams, and service providers to ensure seamless event execution
Maintain meeting rooms and collaboration spaces in excellent condition, ready for immediate use
Provide outstanding hospitality services, welcoming guests and ensuring their needs are anticipated and met
Conduct daily site inspections to identify and address defects or safety concerns
Collect feedback from participants to enhance future event planning and execution
Support workspace functionality by working closely with engineering, facilities management, and project teams
Perform administrative tasks such as invoice submissions, work order processing, and reception coverage as needed
Requirements:
Bachelor’s degree or equivalent relevant experience preferred
1-3 years of experience in event planning, project coordination, hospitality, or a related field
Strong background in receptionist duties, including front desk operations and security protocols
Proficiency in Microsoft Office Suite and familiarity with event management software
Excellent verbal and written communication skills, with a high standard in corporate settings
Proven ability to manage multiple events concurrently while maintaining high standards of quality
Experience in vendor management and coordination, including audio/visual technology support
Exceptional customer service skills and passion for creating positive guest experiences
