We are looking for a skilled Administrative Coordinator to join our team in Arlington, Virginia. This Contract to permanent position offers an excellent opportunity to support senior leadership and contribute to the smooth operation of administrative tasks. The ideal candidate will have exceptional organizational skills, attention to detail, and the ability to manage sensitive information with discretion.
Job Responsibility:
Prepare and reconcile expense reports for senior leaders, ensuring accuracy and timely submission
Coordinate and manage calendars, travel arrangements, and appointments for designated senior leadership
Organize and facilitate meetings by scheduling, preparing agendas, and recording minutes for Officer and Executive Committee sessions
Process office and HR-related invoices, ensuring proper documentation and timely payments
Provide support for special events held in the office or at external locations
Maintain accurate records across relevant systems, adhering to organizational standards
Handle confidential and sensitive information with the utmost professionalism
Perform other administrative duties as required to support the team’s operations
Requirements:
Proven experience in administrative support, including calendar and expense management
Strong organizational skills with the ability to prioritize tasks effectively
Proficiency in managing sensitive information with discretion and confidentiality
Skilled in handling inbound calls and delivering clear, detail-oriented communication
Familiarity with scheduling and coordinating meetings and events
Experience with office systems and tools for maintaining accurate records
Ability to work independently and collaboratively within a team environment
