We are looking for a detail-oriented Administrative Assistant to join our team in Boca Raton, Florida. This contract position is ideal for someone who thrives in a fast-paced environment and is skilled at managing multiple administrative tasks. The role will involve supporting various processes and ensuring efficient communication with vendors and internal teams.
Job Responsibility:
Input customer purchase order details accurately into the internal system
Prepare worksheets for quotes and review purchase orders to ensure accuracy
Record supplier quotes and maintain organized documentation within the system
Organize and file important documents systematically for easy retrieval
Monitor order acknowledgments and follow up on delayed deliveries
Communicate with vendors to obtain pricing updates and check order statuses
Manage inbound and outbound calls, addressing inquiries and resolving issues
Support the Account Manager with additional tasks as needed
Requirements:
Proficient in answering inbound calls and providing exceptional customer service
Skilled in accurate data entry and maintaining organized records
Competent in handling email correspondence with vendors and clients
Experienced in using Microsoft Office applications, including Excel, Outlook, PowerPoint, and Word
Ability to schedule appointments and manage calendars efficiently
Strong communication skills for interacting with vendors and internal teams
Capable of managing multiple tasks and prioritizing effectively in a dynamic environment
