Job Responsibility:
Welcome clients with warmth as they arrive at the office
Manage the scheduling and organization of the conference room calendar
Scan, upload, download, and organize documents efficiently, focusing on digital file management
Utilize secure platforms like ShareFile to handle document sharing and storage
Perform light office tasks, such as tidying up meeting spaces and occasional errand runs
Maintain a detail-oriented approach in appearance, communication, and behavior
Collaborate with administrative staff and report directly to the Administrative Assistant
Follow established procedures and ask clarifying questions when needed
Handle multiple priorities and deadlines effectively during busy periods, such as tax season
Requirements:
At least three years of experience in an administrative or office support role
Exceptional customer service skills with a friendly and approachable attitude
Proficiency in Microsoft Word and Excel, along with general computer literacy
Comfortable working with scanners, digital filing systems, and secure document platforms
Tech-savvy with a strong understanding of data security and phishing prevention
Highly organized, detail-oriented, and dependable
Ability to remain calm and focused under pressure and in high-volume situations
