We are looking for a detail-oriented and bilingual Administrative Assistant to join our team in Encinitas, California. This is a long-term contract position that requires a proactive individual with strong organizational and communication skills. The ideal candidate will provide comprehensive administrative and operational support while ensuring seamless coordination between office and field staff.
Job Responsibility:
Provide administrative and operational support to ensure smooth day-to-day functions
organize and maintain HR-related documents, ensuring all files are up to date and accessible
serve as a point of communication between office and field teams, relaying messages and facilitating collaboration
input paper timesheets into the payroll system accurately and on time
manage expense reports for field personnel, ensuring timely processing and reimbursement
handle a high volume of administrative tasks, including filing, data entry, and document organization
respond to inbound calls and emails, providing excellent customer service
utilize Microsoft Office Suite, especially Outlook, to manage schedules, communications, and reporting
Requirements:
Bilingual proficiency in English and Spanish, both written and verbal
proven experience in administrative roles, with strong organizational abilities
proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook
strong data entry skills with a high level of accuracy and attention to detail
ability to handle multiple tasks effectively and prioritize workload
excellent communication skills, both written and verbal
experience in managing expense reports and payroll systems is preferred
familiarity with filing systems and document management
