We are looking for a dedicated Administrative Assistant to join our team in Baton Rouge, Louisiana. This is a short-term contract to permanent position that offers an opportunity to grow within a dynamic and supportive work environment. In this role, you will provide essential administrative support, assist with front desk duties, and contribute to the smooth operation of the office.
Job Responsibility:
Perform general administrative tasks, including data entry, document preparation, and maintaining office supplies
Answer and direct incoming calls while providing excellent customer service
Support front desk operations during lunch breaks or absences, ensuring an attentive and welcoming presence
Manage vendor and tenant requests, maintaining strong relationships and resolving complaints effectively
Submit invoices for reimbursement and handle billing sheets with accuracy and attention to detail
Operate and maintain office equipment, including scanning, copying documents, and replacing toner as needed
Assist with property management tasks and ensure compliance with internal processes
Collaborate with team members to ensure the office runs efficiently and tasks are completed in a timely manner
Requirements:
Proven experience in administrative assistance or office support roles
Proficiency in Microsoft Excel and Word for handling documents and spreadsheets
Strong organizational skills with the ability to multitask and prioritize responsibilities
Excellent communication skills, both written and verbal
Ability to maintain professionalism and composure while addressing customer concerns
Familiarity with property management processes is a plus
Detail-oriented mindset with a focus on accuracy in all tasks
