We are looking for a detail-oriented Administrative Assistant to join our team in Santa Barbara, California. In this long-term contract role, you will play a vital part in managing our records, supporting financial processes, and ensuring smooth day-to-day office operations. Job Responsibility:
Record and track in-kind donations, prepare receipts, and update relevant files for donors and bookkeeping purposes
Monitor online donation forms regularly, ensuring proper allocation and handling of gifts
Maintain and update check and cash logs, scanning and uploading them to designated folders
Prepare and send monthly donation and expense reports to the bookkeeper
Support event planning, setup, and execution for donor and community engagement activities
Coordinate transportation of instruments for repair, requiring a valid driver's license and a reliable vehicle
Answer incoming calls, direct inquiries, and manage general office communications
Organize shared drive folders and oversee office supply inventory to ensure seamless operations
Requirements:
Minimum of 1 year of experience in administrative support or a similar role
Strong organizational skills with the ability to manage multiple tasks efficiently
Excellent verbal and written communication skills for effective interactions
Familiarity with basic bookkeeping processes and financial reporting
Valid driver's license and access to a reliable vehicle for occasional travel
Ability to handle incoming calls and provide exceptional customer service
Experience in event coordination or office management is preferred
