We are looking for a dedicated Administrative Assistant to join our team in Baton Rouge, Louisiana. This is a short-term contract to permanent position, offering an excellent opportunity to demonstrate your skills and grow within our organization. The role involves supporting administrative operations, providing front desk coverage, and assisting with customer service and vendor coordination.
Job Responsibility:
Perform general administrative tasks, including data entry, document management, and office equipment maintenance
Provide front desk coverage during lunch breaks and absences, ensuring an attentive and welcoming presence
Handle inbound calls, address customer complaints, and maintain positive relationships with tenants and vendors
Submit invoices for reimbursement and manage detailed billing sheets accurately and efficiently
Coordinate office supply orders and troubleshoot equipment issues such as toner replacement
Assist with property management tasks, including scanning and copying documents as needed
Ensure the office environment remains organized and conducive to productivity
Collaborate with team members to support the multifamily department's administrative needs
Maintain a high level of attention to detail when completing repetitive tasks
Follow established procedures for handling sensitive customer and vendor inquiries
Requirements:
Proven experience in administrative assistance or similar roles
Proficiency in Microsoft Excel and Word for document creation and data organization
Strong customer service skills with the ability to handle complaints professionally
Familiarity with basic office equipment and maintenance, including printers and scanners
Ability to perform repetitive tasks with accuracy and focus
Excellent communication skills for interacting with vendors, tenants, and team members
Ability to work independently and manage time effectively in a corporate environment
