We are looking for a detail-oriented Administrative Assistant to join our team on a contract basis in Costa Mesa, California. In this role, you will play a key part in ensuring the office runs smoothly by handling a variety of administrative tasks and supporting the operations team. This position offers an excellent opportunity for someone with strong organizational skills and a proactive mindset.
Job Responsibility:
Manage daily administrative tasks, including scheduling appointments, coordinating meetings, and maintaining office records
Answer incoming calls professionally and direct them to the appropriate team members
Perform data entry tasks with accuracy and efficiency to maintain organized records
Serve as the main point of contact for vendors, ensuring timely communication and resolution of issues
Assist with basic payroll tasks and ensure all information is properly documented
Support the office manager and operations manager by taking on additional workload as needed
Utilize QuickBooks and Microsoft Office Suite to complete administrative projects
Maintain a welcoming and organized reception area while handling receptionist duties
Help manage office supplies by tracking inventory and placing orders when necessary
Collaborate with team members to improve administrative processes and workflows
Requirements:
Minimum of 2 years of experience in administrative support or a related role
Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook
Basic knowledge of QuickBooks for handling financial tasks
Strong organizational and multitasking skills with attention to detail
Must be bilingual in Spanish and English with strong verbal and written communication skills in both languages
Ability to work independently while being a team player
Comfortable handling inbound calls and managing vendor relationships
Familiarity with data entry and maintaining accurate records
