We are looking for a highly organized and detail-oriented Administrative Assistant to join a local firm in Reno, Nevada. This is a Contract to permanent position that requires a proactive individual with excellent communication and customer service skills. The role is on-site and offers the opportunity to work alongside an experienced office manager while contributing to the smooth operation of administrative tasks.
Job Responsibility:
Submit prepared tax documents to clients
Process payments and ensure compliance with organizational procedures
Collaborate with the office manager to support day-to-day administrative operations
Utilize software tools such as Canopy, Microsoft Office 365, and organizational tax products to streamline processes
Answer inbound and outbound calls, providing attentive customer service and resolving inquiries
Manage email correspondence and maintain clear communication with clients and team members
Schedule appointments and manage calendars to optimize workflow efficiency
Perform data entry tasks with precision and maintain organized records
Assist with minor bookkeeping tasks as needed during slower periods
Handle customer interactions with care, including addressing concerns with empathy and understanding
Requirements:
At least 3 years of experience in an administrative or customer service role
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and familiarity with SAP CRM
Strong attention to detail and ability to manage multiple tasks efficiently
Excellent verbal and written communication skills
Ability to learn new software tools quickly and adapt to evolving processes
Demonstrated customer service skills, including handling difficult conversations with tact
Strong organizational skills and the ability to work under supervision
Willingness to work on-site during designated hours and adapt to seasonal schedule changes
