We are looking for a dedicated and detail-oriented part time Administrative Assistant to provide essential support for day-to-day operations and marketing logistics. This role requires a proactive individual who can efficiently manage tasks such as vendor coordination, order tracking, and event planning while ensuring deadlines are consistently met. Located in Northbrook, Illinois, this long-term contract position offers the opportunity to contribute to a dynamic and organized work environment.
Job Responsibility:
Coordinate lunch orders for office and clinic needs, including vendor selection, placing orders, and confirming deliveries
Oversee the logistics of gift ordering and shipping for clinics and special requests, ensuring accuracy and timeliness
Maintain and update inventory records for gifts at the Northbrook office
Track and organize orders for lunches, gifts, and marketing materials using detailed trackers
Monitor budgets, process receipts, and confirm deliveries to ensure compliance with financial guidelines
Identify and address potential delays, missing information, or risks to maintain smooth operations
Research vendors for tradeshow materials, providing detailed comparisons with pricing, lead times, and recommendations
Place approved orders for marketing materials and confirm delivery schedules with vendors
Summarize hotel options for upcoming events and tradeshows, ensuring suitability for team requirements
Coordinate team meals during events, handling reservations, dietary needs, and accurate headcounts
Requirements:
Proven experience in administrative support roles, showcasing strong organizational skills
Ability to manage multiple tasks simultaneously while maintaining attention to detail
Proficiency in data entry and maintaining accurate records
Excellent communication skills for interacting with vendors, team members, and stakeholders
Familiarity with tracking systems and tools to monitor orders and budgets
Capability to research vendors and summarize options effectively
Reliable and trustworthy with a commitment to meeting deadlines
Nice to have:
Experience in planning and coordinating logistics for events or tradeshows is a plus
