We are seeking a highly organized and detail-oriented Administrative Assistant to support the operations of a Certified Public Accountant (CPA) firm. This is a contract position ideal for a proactive, flexible, and professional individual who excels in administrative tasks and enjoys working in a dynamic environment. The Administrative Assistant will play a key role in ensuring the firm's day-to-day operations run smoothly while assisting with client communications, document management, and scheduling.
Job Responsibility:
Provide general administrative support to CPA firm staff, including partners, managers, and accountants
Perform data entry, maintain records, and ensure the accuracy of client files and databases
Manage calendars, schedule client meetings, and coordinate appointments for CPA staff
Prepare and proofread correspondence, reports, and financial documents for client and internal use
Assist in the preparation and organization of tax returns, audit files, and financial statements
Answer phone calls and respond to client inquiries in a timely, professional manner
Process invoices, expense reports, and payment requests as needed
Support office operations, including ordering supplies and coordinating IT assistance
Ensure filing systems are well-organized and compliant with industry standards and regulations
Handle confidential information with discretion and follow established protocols for data security
